The short version
This site sets no cookies, runs no analytics, and loads nothing from third-party servers. Reading it stores nothing in your browser at all.
If you fill in the project form, what you type is stored in our database so we can reply and keep track of the conversation. We delete it after 12 months. You can ask us to delete it sooner and we will.
What we collect
Only what you type into the project form. That is: your name, a contact (an email address or a social handle, your choice), which kind of work you are asking about, your message, and optionally any links and a timeline.
Nothing is collected from you unless you submit that form. Reading this site collects nothing at all.
What we deliberately do not collect
- No cookies, of any kind, including "essential" ones.
- No analytics, no page-view tracking, no session recording.
- No advertising or marketing trackers, and no data sold or shared for advertising.
- No IP addresses or browser user-agent strings stored with your submission.
- No accounts, passwords, or payment details on this site.
Our web host and DNS provider keep their own short-lived operational logs, as any web server does. We do not read them for analytics and we do not connect them to form submissions.
Why we hold it, and what we do with it
We use your submission to answer you and to track the enquiry through scoping and quoting. That is the whole purpose. Two emails are sent when you submit: a notification to us, and a confirmation to you if you gave an email address. The confirmation is a fixed template and never quotes anything you wrote back at you.
We do not sell your information, we do not share it for advertising, and we do not add you to a marketing list. If we ever want to email you something other than a reply, we will ask first.
How long we keep it
Project enquiries are deleted 12 months after the conversation ends. If we work together, records connected to that work are kept as ordinary business records for as long as we need them for accounting and legal purposes.
Who else can see it
We use a small number of infrastructure providers, and only because the service runs on them:
- Microsoft Azure hosts this site, our API, our database, and sends our email. Data is stored in the United States.
- Cloudflare provides DNS for our domain and forwards email sent to our address.
These providers process data on our behalf and are not permitted to use it for their own purposes. Nobody else receives your submission. We would disclose information if the law actually required it, and not otherwise.
Cookies
We do not use cookies. There is no consent banner on this site because there is nothing to consent to.
Nothing else is stored either. An earlier version of this site kept a value named kodamatics-theme in local storage to remember a light or dark theme choice; the site is light-only now, the value is no longer written or read, and clearing your browser's site data removes any leftover copy.
If you are a client using the portal
The client portal signs you in with a one-time link sent to your email address. There is no password to steal. Sign-in links expire after 15 minutes and work once. Sign-in tokens are stored only as hashes, so the stored value cannot be replayed to log in as you.
A signed-in session lasts 30 days and its token is kept in your browser's local storage. The portal shows you your own projects only. Messages you send us on a project's thread are stored with that project and emailed to us; they are part of the project record and deleted on the same request as everything else. Signing out revokes the session on our side, not just in your browser.
Your choices
Email hello@kodamatics.com and we will:
- tell you what we hold about you,
- correct anything that is wrong,
- delete it, unless we are legally required to keep it.
You do not need an account or a form to ask, and we will not make you justify the request. Depending on where you live you may have additional statutory rights, and we will honour those too.
Children
This site is aimed at people commissioning software and is not directed at children. We do not knowingly collect information from anyone under 16. If you believe a child has sent us something, email us and we will delete it.
Changes
If what we do changes, this page changes with it and the date at the top moves. We do not backdate it and we do not quietly reword it.
